Doctoral Student Monitoring

Doctoral Student’s Activity Document

Once enrolled in the Programme, a personalised activity document will be created for each doctoral student for the purposes of individual record-keeping. All activities of interest for the doctoral student’s development will be recorded in it, as established by the unit responsible for doctoral studies at the University, and it will be evaluated annually by the Academic Commission of the Doctoral Programme.

This document must conform to the format established at each University, be recorded in the computer application, and documentary evidence must be kept to certify the completion of the activities carried out by the doctoral student. This document will be evaluated annually by the Academic Commission of the Doctoral Programme.

The doctoral student will have access to the Doctoral Student’s Activity Document to record and update the activities carried out within the context of the programme. Their records will be validated by the corresponding academic body following assessment by the supervisor and the thesis director, after verification by the administration of the authenticity/veracity of the merits claimed, where applicable.

Access to the Doctoral Student’s Activity Document will be granted, for the functions applicable in each case, to the doctoral student, their supervisor, their thesis director, the Academic Commission of the Doctoral Programme, the unit responsible for doctoral studies at the University, and the responsible administrative staff.

Doctoral Student Monitoring Committee

In the DOMAR doctoral programme, in addition to supervision by the thesis directors, each student has a Monitoring Committee responsible for guiding them throughout their thesis, mediating disagreements, and annually evaluating the Research Plan.

This Monitoring Committee, specific to each student, is appointed by the Academic Commission upon proposal by the thesis directors, within the first 3 months after enrolment. It is generally composed, in addition to the director(s), of two researchers from different institutions and, whenever possible, from one Galician and one Portuguese institution belonging to DOMAR or, failing that, from an international institution.

Research Plan

Within six months of the enrolment date, the doctoral student will draw up a research plan, which they will present to their monitoring committee. The research plan will include an introduction, the methodology to be used, and the objectives to be achieved, as well as the means and timeline for achieving them. The plan must be presented and endorsed with the report of the Monitoring Committee and must be approved by the CAPD.

Annually, the student must present and defend before their monitoring committee a summary of their progress, including: the tasks completed according to the Research Plan schedule, any difficulties encountered in the event of delays in its implementation, the programme, the training activities undertaken, and the proposed activities and thesis tasks for the following year, especially if they differ from the initial schedule.

The CAPD will annually supervise the research plan, the training plan, and the activity document.

To this end, it will have access to the reports issued by the supervisor and the director, as well as the reports of the monitoring committee. A positive evaluation by the CAPD is an essential requirement to continue in the programme. In the event of a negative evaluation, which will be duly justified, the doctoral student will be entitled to a new evaluation within six months at UVIGO and 3 months at USC and UDC, for which they will draw up a new research plan and/or training plan. Should a second negative evaluation occur, the student will be permanently withdrawn from the programme.

Supervision Commitment

The supervision, tutorship, and monitoring functions of doctoral students will be reflected in a Supervision Commitment. This commitment will be signed by the programme coordinator, the supervisor, and the doctoral student within a maximum period of one month from the enrolment date, with the director’s signature being incorporated at the time of their appointment. This Supervision Commitment will be incorporated into the Doctoral Student’s Activity Document at the time of its signing by all parties involved.

The Supervision Commitment will specify the academic relationship between the doctoral student and the University, their rights and duties, including any possible intellectual and/or industrial property rights arising from the research, as well as acceptance of the conflict resolution procedure and its duration. The duties of the doctoral student’s supervisor and thesis director will also be included.

The supervision commitment must set out the conditions under which the doctoral thesis will be published.
